Terms of service

Please read these terms before your organisation uses CareLearn. By signing up, you agree to them on behalf of your organisation.

1. About these terms

These terms apply when an organisation uses CareLearn, the online training service run by CareLearn Ltd (company number 00000000, registered office 123 Demo Street, London). In these terms, “we” means CareLearn Ltd, and “you” means the organisation that signs up, such as a care home or home care agency.

CareLearn is a service for businesses. The person who signs up confirms they are allowed to accept these terms for their organisation.

2. Your account and your staff

  • You must give accurate information when you sign up and keep it up to date.
  • You decide who in your organisation gets access. You are responsible for the staff you add, for what they do in CareLearn, and for removing access when someone leaves.
  • Everyone must keep their sign-in details private. Tell us straight away if you think an account has been used without permission.
  • Only add information CareLearn asks for. Do not enter information about the people your organisation cares for, or health information about staff.

3. Free trial

New organisations get a free trial of 14 days for up to 5 learners. No payment card is needed. At the end of the trial you can choose a paid plan to keep using CareLearn. If you do not, your access will be limited, but you can still contact us about your records.

4. Paid plans

Paid plans are priced per member of staff, as shown on our pricing page or as agreed with us in writing. The full billing terms, including how to cancel, are shown when you choose a plan.

If a payment is late, we will let you know and may limit your account until it is paid. We will give you notice before any price change applies to you.

5. Our training and your responsibilities

CareLearn courses cover the knowledge staff need. They are theory only. Practical skills, such as moving and handling, must be taught and assessed in person by your organisation.

You remain responsible for your staff’s competence, for deciding what training each role needs, and for meeting your legal and regulatory duties, including those set by the Care Quality Commission. Using CareLearn supports your evidence of training, but it does not on its own make your organisation compliant.

We work to keep course content accurate and up to date. If you think something is wrong, please tell us.

6. Certificates

  • A certificate is issued when a learner passes a course’s final assessment with a score of 80% or more.
  • A certificate shows that the learner completed our online course. It is not a qualification and does not confirm practical competence.
  • Each certificate has a number anyone can check on our verify page. Certificates expire and need renewing as shown on the certificate.

7. Using CareLearn fairly

You and your staff must not:

  • share accounts, or let someone else take a course or assessment for another person
  • copy, resell or publish our courses, or use them to train people outside your organisation
  • try to get into parts of CareLearn you do not have access to, or disrupt the service
  • use CareLearn for anything unlawful

If these rules are broken, we may suspend access after letting you know, or straight away if it is serious.

8. Who owns what

We own CareLearn and its courses, and we give you the right to use them for your organisation while your account is open. Your organisation owns the information you add, such as your staff records and their training records. We use it only to provide CareLearn to you, as explained in our privacy notice.

9. Data protection

For your staff’s training information, your organisation is the controller and we process it on your behalf. Our data processing terms set out how we look after it, and are available from privacy@carelearnapp.com. Our privacy notice explains more.

10. Keeping CareLearn running

We work hard to keep CareLearn available and secure, but we cannot promise it will never be interrupted, for example during maintenance or problems outside our control. We will try to give notice of planned work. We may improve or change features over time, but we will not remove anything essential to your plan without telling you first.

11. Our liability

Nothing in these terms limits liability for death or personal injury caused by negligence, for fraud, or for anything else the law does not allow us to limit.

Otherwise, we are not responsible for indirect losses, or for loss of profit, business or data, and our total liability in any year is limited to the amount you paid us in the 12 months before the claim.

12. Ending your use of CareLearn

You can stop using CareLearn at any time. We may close an account if these terms are seriously broken or if fees are not paid after reminders. When an account closes, you can ask us for a copy of your training records first. We then delete your organisation’s information as set out in our privacy notice.

13. Changes to these terms

We may update these terms. If a change affects you significantly, we will tell you at least 30 days before it applies. The date at the top of this page shows when they were last changed.

14. The law that applies

These terms are governed by the law of England and Wales, and the courts of England and Wales can deal with any dispute. If you have a concern, please contact us first so we can try to put it right.
